Who we are
The controller for accounts, payments, contact messages and the website is G.E. Recruitment, trading as TORNIO (see Company information). Privacy contact: voyaspadelnights@gmail.com. For participant data entered by organizers (teams, player names, photos, scores) the organizer is the controller and TORNIO processes that data on their behalf under the Data Processing Agreement. Requests about that data are best sent to the organizer; we help the organizer handle them.
Data we process
Organizer accounts: email address, name and login details. Tournament data: name, location, dates, teams, player names, optional photos, scores and standings. Contact messages and withdrawals: name, email, message, and for contact messages also IP address and browser details (to prevent abuse). Sent emails: recipient, subject, type and status (log). Payments: processed by Stripe; we only receive payment status, amount, package, your consumer/business choice with the time of consent and a customer reference, never card details. Players need no account; a team is opened with a four-digit code. Push notifications: only if you switch them on do we store your browser's notification address.
Why we process it
To provide the service and perform the contract (accounts, tournaments, payments), to comply with legal obligations (tax and accounting records), and for our legitimate interest in keeping the service secure and answering questions.
Sharing and publication
Tournaments marked public show team names, player names, photos, schedules, scores and standings to anyone with the link. Staff that an organizer invites to a tournament see that tournament's data relevant to their role. Team codes and contact details of organizers and teams are never public.
Service providers and legal bases
Service providers (processors): Lovable (Sweden) with its infrastructure partners for hosting, accounts, database and storage; Google (Gmail) for sending system emails; Google Gemini via the Lovable AI service, only when an organizer has tournament information translated; and, if you switch on push notifications, your browser's push service (for example Google, Apple or Mozilla). Stripe processes payments as an independent controller. Some of these parties may process data in the United States; this happens under the EU-US Data Privacy Framework or the EU standard contractual clauses. We do not sell personal data or use it for advertising.
Retention
If you delete your account under Account, the following are deleted immediately: your account and profile, your memberships of other people's tournaments and organizations, and the tournaments you own with all teams, scores, photos and logos — also for staff and players of those tournaments. Scores or changes you made in someone else's tournament remain part of that tournament. If you request deletion by email, we carry it out within 30 days. Legal exceptions: payment and invoice records (amount, date, package, customer reference) and organization details needed for subscription billing are kept for 7 years (tax retention duty); Stripe keeps its own payment records under its own privacy policy. Contact messages, withdrawals and the email log are kept for at most 12 months; older entries are deleted during our regular maintenance. Our hosting provider's backups are overwritten on their fixed cycle; until then deleted data may still exist in them, but it is no longer used or restored, except to recover from an outage.
Your rights
You may request access, correction, deletion, restriction or export of your data, and object to processing, via voyaspadelnights@gmail.com. We respond within one month. Do not send passwords or team codes. You may also complain to the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) or your local authority.
